From the Main Menu,
you may type in the Banner Report you wish to
run directly in the DIRECT ACCESS box:

This will take you
directly to the GJAPCTL form to run your
report:

- GJAPCTL - This form is used to print banner
reports
- Type in the name of the report you wish to
print (e.g. SWRSX02) : IF YOU HAVE THIS INFO
already,
SKIP TO 4.
- Or search for the report you need to run, by
clicking on the “flashlight icon”.
In the TITLE field, you can enter a
“search/query” xxxxx% and hit F8 to list the
reports in this category out (eg…. Class% =
class roster, class
schedule…)
- Click on the appropriate report title and it
will bring you back to this reporting
form.
- Perform a next block function.

- Select the appropriate printer or DATABASE
to create a file, then perform a Next Block
function
again.
- Select the appropriate values for the
parameters of the report you are
requesting.
- Perform a next block function.
- Click on SAVE and the report will be
processed and printed if you selected a printer.
If you
selected DATABASE and created a file,
please follow the next set of
instructions...
- Select Review Output from the Options Column
.
The Saved Output Review Form should
then appear:

- Double-click in the Number field.
The list of Available Files to
review will appear on the
screen.
- Select the .lis filename and click on the OK
button.

The report should then
appear in the Saved Output window of the Saved
Output Review Form:

- Select the Save to File option from the
Options column.
("*Information* Output saved as
file: C:\TEMP\reportname.lis" should then appear
in the Auto Hint/Status line in the lower
left corner of the
screen.)
- Access Microsoft Excel or Microsoft Word
programs, and use the File/Open menu command to
open the
xxxxxxx.lis file from the C:\TEMP
folder.
- Exporting YOUR REPORT to Excel:
- Having EXCEL open, click on File and select
Open. If you are not in the correct directory,
change
the directory to My document, and
select in the Files type box, All Files. Choose
the report.lis that you want to
export.

- After that the Text Wizard will pop up.
Click on the Delimited Button which will be your
default option, if it is not, select this
type for your file, and click next.

- This will bring you to the next box. Choose
your two DELIMETERS HERE – Tab and Comma then
Click Next:

- This step lets you select the format for
your data. The format for all your data , should
be text,
except any date column, which
should be date format. To do this you need to
click on each field, and change the column
format to text or date. After you click on the
last field, click Finish.

- This should bring you to your spreadsheet in
Excel. The columns may need adjustment to make
the
text visible. Just double click on the
line between the letters of the columns. This
should automatically adjust the
width.
- Now you can delete the fields you do not
need or keep them. You can then use this format
to
create your Excel Report or to
successfully bring the file into Microsoft Word
for creating labels.

- Exporting the SWRSX02 EXTRACT/REPORT
directly from Banner to Microsoft Word is not
recommended.
However, if you do need to export a report
from Banner to Microsoft Word, for other
extracts, follow these directions and refine
to your own needs from there:
- Access the Microsoft Word program, and use
the File/Open menu command to open the
XXXXXXX.LIS
file (e.g. SWRSOPCL.lis) from
the C:\TEMP folder.
- Make the following changes to the document
in Microsoft Word:
- Select All text in the document using the
command: Edit / Select All.
- Change the font size by selecting “8” from
the Font Size drop-down menu on the formatting
toolbar
(or menu command
Format/Font).
- Change the left and right margins to .5 by
using the menu command: File/Page Set-up
(or
Format/Document in Microsoft Word in
MAC).
- Change the orientation to Landscape by using
the menu command:
File/Page Set-up/Paper Size
Tab (or Format /Document in Microsoft Word on
MAC).
- Save the formatting changes to the document
using the command:
File/Save.
Note:
Most likely you
will use the File/Save As command to save the
document to another location, (and perhaps a
more meaningful name to you, such as July
finance report), since running this report again
will save the new report to the same
temporary location on your hard drive.
(C:\Temp\xxxxxxx.lis), and will OVERWRITE
the most recent
report. |
